Visit Frequency & Scheduler

The Appointment Scheduler is a tool designed to help sales reps plan regular visits to clients and prospects.
It’s available both on the web panel and the mobile app, and only displays contacts with a defined visit frequency (an optional field in the client record).

On the web version, the scheduler shows five main columns:

  • Client Name
  • Visit Frequency (number of days, web only)
  • Last Appointment
  • Next Appointment Due Date (automatically calculated based on frequency)
  • Status

The system highlights the client’s status according to these rules:

  • Overdue (red): the visit is late compared to the set frequency
  • Upcoming (yellow): the due date is approaching
  • Never Visited (grey): no appointments recorded so far

You can filter the list by status.

When you complete an appointment, if the client has a visit frequency set, the system automatically suggests creating the next one, with the date pre-filled according to the defined schedule. The user can confirm or cancel this suggestion before saving.

Each row in the scheduler also includes a quick-action button to instantly create a new appointment, making it easy to plan future visits in advance.
